1. Controller
Franz Christian Voß, VOSS OMS (sole proprietorship), Klosterwall 2, 20095 Hamburg, Germany. Email: info@vossoms.com. VOSS NETZWERK is an offering of VOSS OMS.
2. Overview
We process data for your application, your membership in VOSS NETZWERK (the community on Circle), your assignment to Gold Club, Black Club or Talents, communication with you, and the further development of the network.
3. Visiting the website
The website is hosted via Lovable. This produces technically necessary server log data, such as IP address, time, page requested and browser information. The legal basis is our legitimate interest in the secure operation of the website (Art. 6 (1)(f) GDPR).
We do not use analytics, tracking or marketing cookies. We store the progress of your application and the checklist on the welcome page only locally in your browser (Section 25 (2) No. 2 TDDDG). Fonts are served locally, so no connection to Google is made.
4. Application
We collect first and last name, email address, date of birth and age, city, industry, optionally your LinkedIn address, your answers on attitude and career path, as well as follow-up information such as revenue range, number of employees, role or field of study, topic preferences, free-text answers, your voluntary self-assessment (Member, Gold Club or Black Club) including a possible club application with justification, and your consents together with their timestamps. We use this information to review your admission and club assignment. The legal basis is Art. 6 (1)(b) GDPR (initiation of membership); for the AI evaluation, your consent under Art. 6 (1)(a) GDPR applies.
5. AI-assisted evaluation
We use AI services to evaluate your information for pre-sorting applications, assigning path and club, and for summaries. We may also use it to suggest relevant contacts, events and topics within the network, and to identify which topics are in demand within the network. We currently use OpenAI via the Lovable AI Gateway and Anthropic (Claude). We will add further providers here before deploying them.
The providers process data on our behalf and not for training their own models, to the extent their respective terms provide for this. Any transfer to the USA is based on the EU-US Data Privacy Framework or EU standard contractual clauses. The legal basis is your consent, revocable at any time (Art. 6 (1)(a) and, where required, Art. 49 (1)(a) GDPR).
Only clearly matching applications are accepted automatically (Art. 22 (2)(a) GDPR – necessary for entering into membership; acceptance does not disadvantage you). A human always decides on all other applications, on rejections, and on assignment to Gold Club and Black Club. You may at any time request that a human review your application, state your point of view and contest the decision – by email to info@vossoms.com.
6. Membership and community
After acceptance, membership runs via Circle (Circle.so, Inc., USA; data processing agreement, DPF or standard contractual clauses). Payment is processed via Circle's payment service. For matching, we use your email address, club badge (Gold Club, Black Club, Talents, Taskforce) and access group. We transfer names and the status of your consents only once the corresponding transfer has been set up in Circle. The legal basis is Art. 6 (1)(b) GDPR.
7. Email communication
We send emails regarding receipt, outcome, club assignment and the start of your application in order to carry out the pre-contractual measures (Art. 6 (1)(b) GDPR). As a member you receive invitations to events, important network updates and personal pointers to relevant topics. This is part of membership (Art. 6 (1)(b) GDPR; for similar offerings of our own, also Section 7 (3) UWG). No newsletter spam, no sharing of your address with third parties.
You may object to such member emails at any time: via the unsubscribe link in every email or by email to info@vossoms.com, at no cost other than the basic transmission charges. If you have not joined the community after being accepted, we will remind you by email at most twice; if your address is not yet confirmed, we will instead remind you to confirm it. We confirm your email address via a click (double opt-in). We store the time and a hash of the IP address of the confirmation as evidence.
Presenting members on the website
With your express, voluntary consent, we present your name, photo, role, city, club assignment, any Taskforce involvement and your personal statement on the website. The purpose is the personal presentation of the network. The legal bases are Art. 6 (1)(a) GDPR and, for your image, Section 22 of the German Art Copyright Act (KUG). A refusal has no effect on your membership. Your card only appears publicly after your consent and subsequent admin approval.
Photos are stored in private storage; access is limited to approved cards or via your personal link. Do not share this link, as it allows editing and revocation. We document the time of consent, the text, and, where technically available, a non-reversible IP hash. Your admin receives your name, email and presentation data for management purposes; no automatic invitation email is sent.
You may revoke your consent at any time via the same link using "No longer show" or by email to info@vossoms.com. Your card will be hidden immediately and the photo deleted. The presentation data is stored until revocation. After that it will no longer be published; a minimal record of the consent and revocation is kept only as long as necessary to fulfil statutory record-keeping obligations. The lawfulness of processing up to the revocation remains unaffected.
Network figures are stored only in aggregated form. Individual cities with fewer than three members are not shown; individual Circle profiles are not permanently stored for statistical evaluation.
Club application for members
Existing members can apply for Gold Club or Black Club at /clubs/bewerben. We collect first and last name, email address, date of birth, information about your career path, industry, optionally LinkedIn, voluntary information about your involvement in the network, the desired club, your justification, and your consents together with their timestamp, the text version, and a hash of the IP address as evidence. The purpose is to review the club assignment. We match your email address with Circle to verify your membership and link the club application to an existing application. The legal basis is Art. 6 (1)(b) GDPR; for the AI evaluation, your consent under Art. 6 (1)(a) GDPR.
An AI only provides a recommendation with a brief justification. A human always decides on confirmation or rejection (Art. 22 GDPR). We store club applications for as long as applications in general (see Retention period).
8. Talents (16 and 17 years old)
The minimum age is 16. Persons aged 16 and over may give consent themselves pursuant to Art. 8 GDPR in conjunction with German law. Talents do not take part in evenings where alcohol is served.
9. Recipients and processors
For operation and processing we use Lovable (hosting, database, email dispatch, AI gateway), OpenAI, Anthropic and Circle. We do not sell data.
10. Retention period
We store members' applications during membership and for up to 12 months thereafter. Rejected applications are deleted no later than 6 months after the decision. We store proof of consent for as long as the consent is used and for 3 years thereafter. Statutory retention obligations remain unaffected.
11. Your rights
You have the right to access, rectification, erasure, restriction of processing and data portability. You may object under Art. 21 GDPR, in particular to direct marketing. You may revoke consents at any time with effect for the future. You may also lodge a complaint with the Hamburg Commissioner for Data Protection and Freedom of Information. Please contact us at info@vossoms.com for this purpose.
